Charging to Join: Tickets, Memberships, and Programs

You can charge people to take part: a one-time ticket for a restaurant week, a yearly membership for a savings pass, or entry that comes bundled with a program you already sell. It's all under Registration → Pricing, and we handle checkout and receipts.

Before You Start: Payments

Charging needs a connected payment account for your workspace. If you haven't set one up, the Pricing section shows Connect Stripe to accept payments with a Set Up Stripe button. It takes a few minutes. (See Set Up Payments: Connect Stripe and Get Paid Through Proxi.)

Two Ways to Charge

A new experience is free to join. The Pricing section offers two cards:

  • Set a Price for This Experience — people pay when they sign up. Under Pricing, choose One-time payment, Subscription (per week, month, or year; people get a link to cancel any time, and lose access if they do), or Donation / pay-what-you-want with suggested amounts. Set the amount, a statement descriptor for their bank statement, and a support email, then Turn On Paid Entry.

  • Add to an Existing Program — include this experience in a membership or pass you already offer. People join the program to play, and everything else in it opens up too. Pick the program and click Add to Program. From then on, who can join and what it costs is managed on the program, and the card shows Part of <program> with a Manage Program button. What a Participant Sees

The sign-up page shows the price in an Entry ticket line (or Included with <program>), with the note "You'll pay after confirming your email — no charge yet." They fill in the form, confirm their 6-digit code, and then see You're verified! with a Get My Ticket button that opens a secure checkout and brings them right back. Existing program members just sign up; their email unlocks it.

People Who Signed Up Before the Price

If anyone had already joined when you turned on a price, the section says so: "12 people have already signed up. They'll keep playing free — the price applies to new sign-ups from here on."

Free Access and Payment Pending

On the Participants & Activity → People page, someone who verified but hasn't paid shows Payment Pending. To let them in anyway (a sponsor, a volunteer, a goodwill gesture), open their details and click Give free access; they show Free Access from then on. Testers always skip payment.

If a Membership Ends

When a subscription lapses or a one-time ticket is no longer active, the participant sees Your membership has ended or Your ticket is no longer active, with their progress saved and a Renew button. Nothing they earned is lost.

Good to Know

  • Want the experience free again? Under Pricing, click Remove from Program. Setting a price creates a small program behind the scenes, so it's the same button either way.

  • Your Buyers Cover Processing Fees setting under Settings → Payments applies here too.

  • Refunds are handled from your payment account's dashboard, the same as any other Proxi purchase.
