Contacts: Everyone Who's Connected With You, in One Place

Written by Melinda Haughey

This article is about the Proxi admin app at app.proxi.co.

A contact is one person Proxi is keeping track of for you — someone who signed up, submitted something, or landed on one of your listings. Each person shows up once, tied to their email, with everything they've done gathered in one place. You'll find them all under Contacts (the All Contacts tab). Think of it as your quiet address book: it fills itself as people interact with your maps, and it's where audiences and messages draw from.

Where Contacts Come From

You don't add most contacts by hand — they arrive on their own whenever someone does one of these:

  • Registers for a challenge, hunt, or guide

  • Shares their email to unlock something, or on a map's email capture

  • Submits a place or a form, or submits an event or a bulletin

  • Is added as a contact on one of your listings

You can also bring people in yourself — one at a time, or by uploading a spreadsheet. Each contact remembers how they first arrived, so you can always tell a challenge sign-up from a form submitter.

Find the Person You're Looking For

  • Search by name, email, or phone.

  • Filter by source to see just one kind — say, only your Listing Contacts, or only people who submitted a form.

  • Filter by email status — everyone, just the subscribed, or just those who've unsubscribed.

Anyone who's turned off texts (by replying STOP to one) shows a small Texts off tag next to their phone number, so you can tell at a glance who's still reachable by text. Email and text opt-outs are kept separate — someone can be happy to get emails but off for texts, or the other way around.

Open a Contact to See Their Story

Click anyone to slide open their details. You'll see:

  • Activity — a plain-language timeline of everything they've done, newest first: "Registered for the Summer Hunt," "Submitted to Downtown Directory," "Joined Founders Club," "Received: Your event is live." A brand-new or quiet contact just says "No activity yet." A note by the heading explains that this history starts from when activity tracking began, so a short timeline means "recently tracked," not "never active."

  • The audiences they belong to, their sources, engagement, and any custom details you've collected.

From here you can also Unsubscribe from all — one click takes someone off every email and text if they ask — or Delete Contact at the very bottom of their details.

Add People to an Audience

Tick the boxes next to a few contacts and add them straight to any of your manual audiences — handy for building a list by hand from people you already have. (More on audiences in Audiences: Lists That Keep Themselves Up to Date.)

Good to Know

  • One person, one contact — even if they turn up in several ways, Proxi keeps a single record per email instead of duplicates.

  • Deleting a contact removes them from your audiences, clears their history, and unlinks them from any listings they were a contact on. If they act again later — submit, sign up, or get re-added on a listing — a fresh record is created.

  • Contacts feed everything else here: an audience is a group of contacts, and a message goes to an audience. Start with contacts, and the rest follows.
