Unsubscribes and Resubscribing: How People Control Your Emails (and How to Invite Them Back)

This article is about the Proxi admin app at app.proxi.co, and the pages your contacts see when they unsubscribe or manage their emails.

Every email you send from Proxi comes with a way to unsubscribe, and people can always change their minds later. This article walks through what your contacts see, what you see on your side, how to name your lists so they make sense to the public, and how to invite someone back if they'd like to hear from you again.

What Happens When Someone Unsubscribes

Every message you send to an audience has an unsubscribe link at the bottom. Say you send your "Downtown Events" list a note about First Friday, and Pat clicks unsubscribe:

  • Pat is taken off just that list and sees "You're unsubscribed," along with the name of the list they left. They'll still get your other emails.

  • If Pat would rather hear nothing at all, there's a link right there to stop all marketing emails from your organization.

  • Clicked by mistake? A Changed your mind? Resubscribe button puts them right back.

  • A Manage your email preferences link takes them to a page where they can see and change everything at once (more on that below).

Many email apps also show their own "Unsubscribe" button at the top of a message. That works too, with the same result.

Unsubscribing only stops the emails you send out as news and updates. Receipts, purchase confirmations, sign-in codes, and account emails still come through, so nobody gets locked out of something they paid for.

Give Your Lists a Public Name

The name you use for an audience inside Proxi might not be the name you want the public to see. "2026 Hunt Signups (import #2)" is a fine name for you, but it's confusing on an unsubscribe page. Give it a friendlier Public Name instead:

  1. Go to Contacts and open the audience.

  2. Open the ⋯ menu and choose Edit Name & Details.

  3. Fill in Public Name (optional), something like "Downtown Events" or "Holiday Window Hunt Updates," then save.

People see the public name when they unsubscribe, resubscribe, or manage their emails. If you leave it blank, they'll see the audience name. The Description is only for you and your team, and it never appears on these pages.

The Email Preferences Page

Your contacts have their own page for managing the emails they get from you. They sign in with their email address and a one-time code, with no password to remember. On that page they can:

  • Turn Get emails from your organization on or off.

  • Under Lists You're On, turn individual lists on or off.

Only lists you've actually emailed show up there, along with any list they've left, so they can always rejoin. A list you've set up but never sent to stays out of their way.

People who use your portal can also get there from the Email Preferences link at the top of the portal. If they've unsubscribed, their portal home shows a small "You're not getting emails from…" note with a Resubscribe button.

See Who's Unsubscribed

  • On Contacts → All Contacts, change the email status filter to Unsubscribed from email.

  • Inside an audience, anyone who has left that list, or turned off all your emails, shows a gray Unsubscribed tag. The count at the top of the audience shows how many.

  • Open a contact to see an Opted out tag next to their email or phone number.

You don't need to remove these people from anything. Proxi leaves them off your sends automatically.

Invite Someone Back

Sometimes a person unsubscribes by accident, or tells you at an event that they miss your newsletter. You can't turn their emails back on for them, since that choice belongs to them. What you can do is send them a link so they can do it themselves in a few clicks.

For one person:

  1. Go to Contacts and open their details.

  2. Under their contact information, click Email Them the Link. This opens a short, ready-to-send note in your own email app, addressed to them with their link included. Or click Copy Link to paste it into a text or message instead.

The link is made for that person. Their email is already filled in on the sign-in page, and after they enter their code they land right on their email preferences.

This option also shows for people who left only some of your lists, so you can invite them to rejoin those too.

For anyone: when you filter All Contacts to Unsubscribed from email, a Copy Resubscribe Link button appears. It's a general link to your email preferences page that works for anyone. Share it wherever it helps, like a newsletter sign-up table, a social post, or a reply to someone who asks.

Good to Know

  • "Email Them the Link" sends from your own email account, as a personal note. Proxi doesn't send it for you, which keeps you on the right side of the rules about emailing people who've opted out.

  • Email and text opt-outs are separate. Turning emails back on doesn't change whether someone gets your texts.
