What You Can Send from Each Kind of Audience

Every audience lets you send an email or a text. What differs from one kind to the next is whether it fills itself, which automatic messages it offers, and which ready-made buttons fit. Here's the quick reference, followed by the details. Everyone who registers for a passport, scavenger hunt, or guide lands in that challenge's audience automatically. The one thing that's different here: you write their messages on the challenge's own Messages page, not from the audience, because challenge notes carry personal details like each player's unique link. Open the challenge's audience and its messages show up so you can see them at a glance, with buttons that jump you to the challenge to write or edit.

When people submit a place or fill out one of your forms, they gather in a "… Submissions" audience. What you can automate depends on the form: a sign-up or lead form offers a welcome when they sign up; a form that adds a place offers a thanks when they submit; and a form you review before publishing adds a congrats when you approve. Buttons can take each person to View & Edit Your Submission or Go To Your Portal. If the form is reviewed, you can also send to just People With An Approved Submission or People Still Waiting On Review. Quick way in: the collection's submissions area has a Message Submitters link that opens the composer with this audience already picked.

Anyone who joins a program becomes a member in its audience. You can automate a welcome when they join and a note when they cancel, and add a View Program Page or Manage Your Membership button so members can jump straight to their program.

People who submit events to an event group collect here. Automate a thanks when they submit and a your-event-is-live when you approve, with buttons for Manage Your Events (the default), View Your Event, and See The Events Calendar. You can personalize these notes with the event's own details too — Event Name, Event Date, and Event Venue. As with forms, you can send to just the approved or the still-waiting, and the Message Submitters link on an event group opens the composer here.

Folks who post to a bulletin board are gathered so you can reach them, but this one keeps it simple: send blasts whenever you like — there are no automatic triggers here.

This is the org-wide audience of everyone listed as a contact on your listings — your businesses and partners. It doesn't fire automatic emails when someone's added (that's on purpose, so a new listing contact isn't surprised by a message), but it's perfect for blasts, and the Manage Your Listing button takes each business straight to where they manage their own listing.

Audiences from older maps — people who shared an email to unlock content, or on a map's email capture — work for blasts too. Ones built from form submissions on those maps can offer the same submitted/approved automatic notes; plain email captures are blast-only. If a source has moved to a collection, its Source link will take you there.
