Automatic Messages: Send the Right Note at the Right Moment

A blast is a message you send once. An automatic message is one you set up a single time and then leave running — it sends itself whenever something happens, like a welcome note the moment someone joins, or a "you're approved!" the moment you approve their submission. You write it once; Proxi delivers it, personalized, to each new person at just the right moment. What Can Set One Off

The moments you can react to depend on the audience. The common ones are:

  • When someone joins the audience — signs up, submits, or becomes a member. Great for a warm welcome or a thank-you.

  • When a submission is approved — for audiences built from things you review, like place or event submissions.

  • When a membership is canceled — for program members, a friendly "sorry to see you go."

Not every audience offers every trigger — a bulletin board or a hand-built list has none, for instance. For the exact options per audience, see What You Can Send from Each Kind of Audience.

Set One Up

  1. Open the audience and go to its Automations tab. (If you're on the Messages tab, a nudge — Set Up Automatic Messages — takes you there too.)

  2. Pick a ready-made trigger, like When Someone Joins or When A Submission Is Approved. Each comes with a friendly draft — subject, body, and a short text version — already written.

  3. Make it yours: adjust the wording, personalize with {{first_name}}, and add a button if you'd like.

  4. Turn it on. From now on it sends on its own to each person the moment their trigger happens. Already have some set up? The nudge says Customize instead, so you can tweak them rather than start fresh.

Buttons That Fit the Moment

Automatic messages can carry the same helpful buttons a blast can, and they adjust to the audience — Manage Your Listing for people on your listings, View & Edit Your Submission for form submitters, Manage Your Events or View Your Event for event submitters, Manage Your Membership for program members. Each person gets a button pointed at their thing.

It Stands In For the Built-In Email

Proxi already sends a few built-in notices on its own — for example, an "your event is live" email when you approve an event, or a note when someone's place goes live. When you set up your own automatic message for that same moment (say, a "Submission Approved" automation), Proxi sends yours instead of the built-in one, so nobody gets two emails about the same thing. Don't set one up, and the built-in note still goes out as usual — you're never leaving people in silence.

Good to Know

  • You can turn an automatic message off anytime; Proxi will double-check before it stops sending.

  • An automatic message only reaches people going forward, as their moment happens — it won't email everyone who's already in the list. For that, send a blast.

  • Challenges are the exception: their automatic messages are set up on the challenge's own Messages page, because they carry challenge details like each person's unique link.
