This article is about the Proxi admin app at app.proxi.co.
A workspace is one brand's home in Proxi. Everything for that brand lives inside it: its maps, its listings, its portal, its team, its plan, and the name and look that show up on all of it. If you run a single organization, you'll spend all your time in one workspace and never think about this. But if you look after more than one brand — say a downtown association and a separate summer festival, or a handful of clients — each one gets its own workspace, and keeping them apart is on purpose.
Why Each Brand Gets Its Own Workspace
A workspace isn't just a folder of maps. A few important things are tied to it, and they're the reason two brands shouldn't share one:
Its name and branding. The workspace name, logo, and colors stand in for that organization all around Proxi. Two brands need two names, so they need two workspaces. (See Your Workspace Name and Branding (What Shows Up Around Proxi).)
The emails Proxi sends. Portal invites, submission confirmations, "you're in" notes, and receipts all go out wearing that workspace's name and look, so they read as coming from that brand — not from you, and not from your other brand. Mix two brands in one space and people get emails from the wrong name.
Its portal. Each workspace has its own portal — one sign-in, branded as that organization — where the businesses and contacts you work with keep their own info current. A separate brand means a separate portal with its own people. (See What Is the Portal? (One Sign-In for Everyone You Work With).)
Its web address. A custom domain and sending email address are set per workspace, under Settings → Custom Domain & Email. Each brand can have its own.
Its plan and its team. The subscription and the people you invite belong to the workspace, not to you personally. More on the plan part next.
Seeing "Free" When You Know You've Subscribed?
Almost always, this means you're looking at the wrong workspace — not that your plan went missing.
Your plan is shown right under the workspace name, at the top of the left sidebar. Because the subscription belongs to one specific workspace, that little line reads "Free" for any other workspace you're in, even when a different one is fully paid up. So if you paid but you see "Free," you're probably standing in the wrong space.
To check, switch to the workspace you subscribed on:
Click the workspace name at the top of the left sidebar.
Under Workspaces, pick the right one from the list. (Got a lot of them? A search box shows up once you pass five.)
The plan under the name updates to match — the paid one will show its plan instead of "Free."
If every workspace really does say "Free" and you've checked them all, then it's a billing question rather than a wrong-workspace one — see Managing Your Subscription: Plans, Seats, Pausing, and Cancelling.
Working With More Than One Brand
If you're an agency, a consultant, or a team that looks after several organizations, separate workspaces are a feature, not a hassle. Each brand keeps its own maps, listings, portal, branding, billing, and team, with nothing bleeding between them. A quick example: you run a main street, a farmers market, and an arts festival — three workspaces, three sets of maps, three portals, three names on the emails.
It also keeps bringing clients in tidy. You can invite an individual client into just their own workspace, so they see and touch only their brand and never your other clients' work. When you set up a new workspace you can send those invites right away.
Switch or Add a Workspace
The switcher is the button at the very top of the left sidebar, showing the current workspace's name with its plan underneath.
To switch: click it, then choose another workspace under Workspaces. Keyboard shortcuts shown beside each let you jump between the first few.
To add one: click it and choose Add workspace. In Create a new workspace, give the brand its name, logo, and colors, then on the next step, Invite teammates — add each person's email and give them a role. You can skip the invites and do them later.
For more on who can do what once they're in, see Inviting Teammates to Your Workspace.
Good to Know
Switching workspaces changes everything you see — maps, listings, portal, plan — to that brand. Nothing moves between workspaces on its own.
One person can belong to many workspaces with a single login. You don't need a separate account per brand, just a separate workspace.
The plan and any add-ons are per workspace. Subscribing on one doesn't cover the others.
