Invite a Business to Sponsor, Join or Book

Every sponsorship, membership or booking belongs to a listing — the business, not just an email address. The link you send is that listing's own sign-up page, and it never expires. Here's each way to get a business in, and what they see on their side.

Three Places to Start

  • From Sponsorships & Memberships. Click Invite a Business at the top of the overview, or Invite on a package's page. You pick the listing here — and if the business isn't a listing yet, Not listed yet? Add a new listing creates one without leaving the invite.

  • From the listing. Open the listing and scroll to its Sponsorships & Memberships section. Under Invite to a Package, every live package lists its levels as buttons with the price (dated levels show the date). Click the level you're offering, or click Invite to Package next to the package name to let the business choose.

  • Let them come to you. Any listing's page in the business portal shows a Become a Member / Become a Sponsor / Sign Up as a Vendor button (using your Button Text) whenever there's a live package it could still join — so a business owner who signs in to update their hours can also pay their dues.

The Invite

Whichever way you start, the invite asks for:

  • Listing — already filled in when you started from one.

  • Package and Level. Pick a level to lock the link to it, or Let them choose to send a page showing every level so the business picks the one that fits. The email then lists all the levels with a "Pick the level that fits you" line.

  • Email — filled in from the listing's contacts when there is one. This is who gets the link; it doesn't change which business the sponsorship belongs to.

  • Save as this listing's contact — appears when the email isn't already a contact on that listing. It's ticked by default when the listing has no contacts. When it's on, the person is added to the listing as an admin, so they can also sign in to the portal and get your listing messages.

Then Email It or Just Get the Link, and click Send Invite or Get Link. Either way the link appears on screen with a copy button. It's safe to put in a newsletter or a printed letter — it doesn't expire.

The level buttons on a listing open a slightly different dialog — Invite a Sponsor / Member / Vendor — with the same choices plus a Record Offline tab.

Record Offline

Paid by check, cash or an invoice you sent yourself? On the listing, click the level and switch to Record Offline. Confirm the Amount (it starts at the level's price; change it for a negotiated deal), add the contact email and a note ("Check #1234"), and click Record Membership (or Sponsorship, or Vendor Booking). It's Active right away, tag and all — no checkout involved.

While a Checkout Is Waiting

Once you send an invite, the listing's section shows it under Awaiting checkout, and the same row shows as Awaiting Checkout on the package page and All Sponsors & Members. From either place you can:

  • Copy Link to This Level — the same link again, locked to that level.

  • Copy Link (Any Level) — a link where they pick from every level instead.

  • Resend Invite — email it again.

  • Record Payment — they paid another way; this closes their checkout link and marks it paid.

  • Remove Invite — withdraw it. Removing closes any checkout the business had open, so a withdrawn invite can't be paid later.

Re-copying a link is always safe: it reuses the same waiting row, keeps any custom amount you set, and never creates a second one. If a business opens a new link after leaving an earlier checkout open, the earlier checkout is closed first, so nothing can be paid twice.

Invites that have sat unpaid for a week show up in Needs You on the overview with a Copy Link button, so a nudge is one click away.

What the Business Sees

  • The email opens with "You're invited to become a member of…", "…to sponsor…", or "…to be a vendor with…", shows the level and price (or every level, when they're choosing), and has one button — your package's Button Text, or the type's default.

  • The sign-up page says "You're joining as" with their business name at the top, then the level (or, when a package allows more than one, checkboxes and a running total), your Terms if you wrote any, and a short form: name and email. Continue to checkout takes them to a secure payment page.

  • If they leave partway and come back a week later, the same link picks up where they were. If they cancel at checkout, Go Back returns them to the same package with their email still filled in.

  • When they've paid they see "Thank you — you're all set!", the row turns Active, and their portal shows the package with its renewal date.

If Something's Off

  • A level is missing from Invite to a Package. The business already holds a level in that package (one per package, unless the package allows several), or the package isn't published.

  • "This listing is already in this package." Same thing, from the server. Cancel the existing row first if you really want to re-invite.

  • The invite email didn't arrive. Use Resend Invite on the waiting row, or copy the link and send it your own way.

  • The section says Set up payments to invite businesses. Connect your payment account under Settings → Payments; Record Offline still works meanwhile.
