Step by Step: Selling Event Sponsorships to Local Businesses

Festival sponsorship packages, event sponsor levels, presenting-sponsor deals, sponsor benefits tracking — this guide sets up a Sponsorship package for one event, sells it, and delivers what you promised. We'll use a made-up "Riverfront Summer Festival" run by the Downtown Fairhaven Association.

What You'll End Up With

A published package with three levels, a sign-up link you can send to every business on your list, a dashboard showing who's paid, and a benefits checklist per sponsor you can hand to your board after the event.

1. Decide the Levels Before You Open the App

Three is plenty. Write each one as a promise a business can picture:

  • Presenting — $2,500 one-time. Logo Display in the festival map header, Featured Placement on the map, a social media mention, a Badge in the directory.

  • Stage — $1,000 one-time. Logo Display on the stage schedule, Featured Placement, a social mention.

  • Booth Friend — $250 one-time. A Badge and a thank-you in the recap email.

2. Build It

  1. If you haven't yet, connect payments under Settings → Payments.

  2. Sponsorships & Memberships → + Add → New Package. On the Templates tab pick Festival Sponsors — it comes with Presenting, Stage and Community levels — or Or start from scratch with Type Sponsorship. Name it "Riverfront Summer Festival Sponsors" and click Use This Template.

  3. Add Level three times. Billing One-time on each. Under Benefits, add each promise as its own line — they become the checklist you'll tick off later.

  4. On the Sign-Up Page tab, set Button Text to "Sponsor the Festival" and paste your sponsor terms into Terms (what's included, deadlines for logo files, your refund policy). Save Changes.

  5. Publish.

3. Sell It

  • Your best prospects get a personal invite. Open each listing, pick the level you think fits, choose Email the contact a checkout link, Send Invite. The email carries your logo and the "Sponsor the Festival" button.

  • Everyone else gets the page. Filter the Listings page to the businesses you'd like to ask, click Message Contacts, and write a short note. Each business can reach its own sign-up page from the portal, where the same button is waiting.

  • A handshake deal? Record Offline with the agreed amount and a note. It's Active immediately.

4. Deliver and Prove It

As sponsors pay, their listings pick up tags like "Riverfront Summer Festival Sponsors: Presenting". Use that tag to feature them on the festival map and to show a sponsor badge in your directory. On All Sponsors & Members, open Manage Benefits for each sponsor and mark each promise Fulfilled as you do it, with a link to the proof. Then, on the event itself, use Credit Sponsors From Packages in the event editor so the sponsors show on the event page automatically.

After the festival, the benefits sheets plus your map analytics are the recap: promised, delivered, and how many people saw it.

Beyond this year: next season, create the new package fresh (so last year's rows stay clean history), copy the levels with Copy From Level…, and message "Sponsors in Riverfront Summer Festival Sponsors" first — they're the easiest renewals you'll ever make.
