This article is about the Proxi admin app at app.proxi.co.
Most organizations already have a list of the people behind their businesses — a membership roster, a vendor sheet, an old email export. Upload a List takes that list, lines each person up with a listing you already have, and lets you check the matches before anyone is added. Adding people to listings is part of Proxi Pro.
Before You Start
Each row needs a business name (that's what we match on) plus an email or phone number for the person. A name, address, and role are a bonus — the address helps us tell two similar businesses apart. Uploads are 100 rows at a time, so split a longer list into a few uploads; the ones that need a hand-pick are easier to get through in small batches.
Step 1: Bring In Your List
Open Listings, click the Contacts tab, then Add Contacts → Upload a List. You'll see two tabs:
Upload a File — drop in a CSV or Excel file. On the next screen, Match Your Columns, we guess from your headers which column is the business name, email, phone, and so on. Check our guesses and fix any we got wrong. Business Name plus an Email or Phone is all we need.
Paste a List — paste straight from a spreadsheet or type one person per line, like
Bite of Ballard, Priya Natarajan, [email protected]orPete's Hardware, 614-555-0100. We recognize emails and phone numbers by their shape, so the order of the pieces on each line doesn't matter.
Set Everyone's role at the top — Admin or Manager — and it applies to the whole upload unless a row has its own role column.
Step 2: Check Our Matches
Click Find Matches. We compare each business name to your listings, with phone numbers, email domains, and addresses as a second opinion, and sort every row into one of three groups:
Matched — we're confident. The listing shows as a chip next to the person; click Change to pick a different one or Skip to leave them out.
Needs a pick — a couple of listings look right, or the best one was only a loose match. Each row shows up to three suggestions with the reason ("Same name," "Same phone number," "Similar name and same address"). Choose one, or pick Something else… to search all your listings. Rows in this group stay out until you choose, so you'll never add someone to the wrong business by accident.
No match — nothing lined up. Click Something else… to find the listing by hand, or leave the row to be skipped.
If two suggestions have the same name, you have duplicate listings — pick the one you keep now, and tidy the pair later with Find Duplicates on the Listings page.
Step 3: Add Them
When the portal is on, tick Send each new person a portal invite to email everyone new a sign-in link right away. People with only a phone number aren't emailed, and you can always invite anyone later from the Contacts tab. Then click Add N Contacts.
A long list can take a minute or two to save — keep the window open until it finishes. The All Set screen tallies how many people were added, how many were already on a listing and got refreshed, and how many invites went out. Anything left out is listed with the reason, with a Copy button so you can fix those rows and upload them again.
Good to Know
Someone who's already on a listing isn't duplicated — we update their name and phone and leave their role as it was.
One person can appear on several rows with different businesses; they'll be added to each listing.
Only rows with a listing are added. There's no "create a listing" from here — add the business on the Listings page first, then upload again.
Phone-only people show as Text only on the Contacts tab. See The Contacts Tab: Who Keeps Each Listing Current.
Bringing in the businesses themselves? The listing importer has its own Contact columns so each business and its person arrive together — look for the Contacts group when you match columns.
