Attach a PDF to a Place or Listing (Menus, Flyers, Applications)

Written by Melinda Haughey

This article is about the Proxi admin app at app.proxi.co.

Sometimes a photo isn't enough. A restaurant wants its full menu on the card, a festival wants the vendor application next to each booth, a chamber wants the membership flyer on every listing. A File (PDF) field lets you attach one PDF to each place or listing, and visitors open it with a tap.

Add the Field

  1. Open Fields — on a collection it's the Fields tab; in the map editor it's the Fields button in the Places panel; for your listings it's the Fields sheet on the Listings page.

  2. Click Add a Field, name it ("Menu," "Flyer," "Application"), and choose File (PDF) as the type.

  3. Pick where it lives. About the listing means the same file shows wherever that business appears. Just for this collection keeps it to this one map or list — right for a booth application or an event-day menu.

Attach a File

Open a place or listing and find the new row. Click Upload a PDF and choose the file, or drag it onto the box. Once it's up you'll see the file name and size with Replace and Remove next to it. Save the place as usual.

  • PDFs only, up to 10 MB. If you choose something else, we'll say so before anything uploads. Most menus and flyers are well under the limit; if yours isn't, exporting it again at a lower image quality usually gets it there.

  • One file per field. Need a lunch menu and a dinner menu? Add a second File field.

  • Need a Word document or an image? Save it as a PDF first. Images belong in Photos.

Where It Shows Up

On the point card and on directory cards, the field appears as a link with the file name — "Spring Menu.pdf" — that opens the PDF in a new tab, where people can read it or save it. On a listing's public page it shows under Details. Businesses with portal access can add or replace the file themselves from Edit listing, and a public form can ask for one as a question (see Listing Questions on Your Forms).

Good to Know

  • Anything attached to a public map or listing is public. Don't attach contracts, tax forms, or anything with personal details.

  • In the Bulk Edit spreadsheet the column shows the file name and is locked — swap the file on the place itself. A CSV export writes the file's link, and the importer accepts a link to a PDF you host elsewhere.

  • Replacing a file updates the link everywhere that place shows. Removing it leaves the row empty until you upload another.

  • Older experiences (built before September 15, 2026) can't show File fields on their cards yet.

Common Questions

  • Can I upload a menu? Yes, as a PDF, with a File field on the collection or on your listings.

  • Can visitors download it? It opens in a new tab, and they can save it from there.

  • Can businesses upload their own? Yes, in the portal, once you've added the field to your listings.

  • Is it private? No. It's visible wherever the place is.

  • Can I attach more than one? One per field. Add another File field for a second document.
