Step by Step: Collecting Farmers Market Vendor Fees by the Date

Farmers market vendor fees, booth fees by date, market stall payments, seasonal vendor booking — this guide sets up a Vendor Fees package with one level per market day so a vendor can book the Saturdays they'll attend and pay once. Our stand-in is the Downtown Fairhaven Association's "Saturday Market".

What You'll End Up With

A sign-up page where a vendor ticks the dates they want and pays for all of them together, a tag on their listing for each date booked, and a way to message only the vendors booked for a given Saturday.

1. Build the Season

  1. Connect payments under Settings → Payments if you haven't.

  2. Sponsorships & Memberships → + Add → New Package. On the Templates tab pick Farmers Market Vendors, name it "Saturday Market 2027", and click Use This Template. It creates a level for each of the next eight Saturdays, and Vendor Fees packages already allow more than one level per business — which is the whole point here.

  3. On the Levels tab, open each Saturday with the pencil and set your price and a Benefit line like "10×10 booth space". Need the rest of the season? Add Level → Blank Level, set the Date, then Copy From Level… to pull in the price and benefits. Dated levels sort themselves by date, and a date that has passed drops off the sign-up page on its own — set the season up once and leave it.

  4. On the Sign-Up Page tab: Button Text "Reserve Your Booth"; Terms with load-in times, what a booth includes, and your weather policy. Save Changes.

  5. Publish.

2. Get Vendors Booking

Each vendor needs a listing — add them under Listings first if they aren't there. Then either invite from the listing (pick any date; the sign-up page shows all of them with that one pre-ticked) or message your vendor list with a note that the portal now has a Reserve Your Booth button on their listing's page. On the sign-up page the vendor ticks dates, sees a running total ("Continue to checkout · $120 one-time"), agrees to the terms, and pays once. A date they've already booked shows Already booked and can't be picked twice; they can come back any time and add more.

3. Run Each Market Day

  • Who's coming Saturday? Filter the Listings page by the package, or look for the tag "Saturday Market 2027: Sat, May 1" on listings.

  • Remind them. Audiences → Listing Contacts, Narrow To "Saturday Market 2027: Sat, May 1" — only the vendors booked that day get the load-in email.

  • Walk-ups and cash. On the vendor's listing, pick the date and Record Offline.

  • A vendor drops a date. Open the package's Vendors tab, find that date's row and cancel it; the other dates they booked aren't touched, since booth fees are one-time.

  • A vendor pays by check for the whole season. Record Payment on any of their waiting dates records all the dates in that checkout at once.

Good to Know

  • Every date a vendor books is its own row on the dashboard, so counts, tags and messaging all work per date.

  • All the dates in one checkout have to bill the same way. Keep booth fees One-time; if you also sell a season-long add-on that bills monthly, the page will ask for that in a separate checkout.

  • Next season, make a new package rather than editing the old one's dates — last year's rows stay as clean history, and returning vendors book again in one visit.

Beyond booths: the same package shape works for a holiday market with morning and evening slots, a series of pop-up nights, or a workshop with several sessions — anything where a business picks the dates it wants.
