Your Experience Kit: Codes, Signs, and How It's Going

Written by Melinda Haughey

This article is about the business portal at app.proxi.co, for experiences created on or after September 15, 2026.

If your business is a stop on a passport, hunt, or guide run by your downtown or chamber, your portal has a kit for it: what you need to do, the signs to print, and how it's going. You don't need to log anything; people check in on their own phones.

Finding Your Kit

Sign in to the portal and open your listing. A card called Where this location participates lists every experience you're part of, with its status (Live, Upcoming, Ended, or Paused), its dates, and what a visit is worth. Click Open Your Kit.

Your Part

The first card explains what happens at your counter: someone playing opens the experience on their phone and checks in. It shows what a visit is Worth and How often (once per person, or repeat visits welcome). Under How people check in here you'll see only the methods the organizer switched on, in order:

  • Scan your code — the QR on your window sign and counter card.

  • Type your code — if the camera won't cooperate, read them the code shown under If the scan won't go through.

  • Just be nearby — their phone confirms they're at your door.

  • Send a photo from your place — a photo taken at your shop, counted right away or once the organizer takes a look.

  • Show a receipt — a purchase can be worth extra.

In a scavenger hunt, this card also shows The clue pointing people at you, so your staff know why someone's wandering in with a riddle.

Print Kit

Everything you need for the counter and the window, printed at home on ordinary paper. Click Print This on any piece, or Save The Code to download just the QR:

  • Window Sign — big and readable from the sidewalk: "Scan to check in", your business name, your check-in QR.

  • Counter Card — a small QR plus "Camera not working? Type this code in the app:" and your code.

  • Notes For Staff — a one-pager for whoever's at the register at 7am: four short steps and what to do if it won't take.

  • Sign-Up Poster — "Not playing yet?" with the join QR, for people who haven't signed up. This is a different code from your check-in QR, on purpose. Keep the two apart so nobody scans the wrong one.

  • Post It Online — a social image in Square, Story, or Wide, with a caption to paste. Pick the moment: We're A Stop, It Starts Soon, Come Collect Us, or Last Week. It always carries the sign-up link, never your check-in code.

How It's Going

Once a handful of people have checked in, the How It's Going card shows three numbers: check-ins here, different people, and the share of everyone playing who reached you. Below that, check-ins by day and your busiest time. Counts update through the day. We never show you who visited, and there's no ranking against other stops.

Before there's enough activity, the card says Not enough visits yet. That's not a zero; it's just too early to show numbers without pointing back at one person. The sign in your window is the biggest thing you can do.

If Check-Ins Are Off at Your Place

Sometimes the organizer pauses check-ins at a stop. Your kit says so plainly, and scanning won't do anything until it's back on. Your code and signs stay the same, so there's nothing to reprint. If it looks wrong, the organizer's contact is at the bottom of the page.

Good to Know

  • Some experiences use typed codes only. Then there's no QR; your counter card and staff notes still work.

  • The kit is behind your portal sign-in because it carries your check-in code. Ask the organizer if a teammate needs access.

  • You'll never see ratings or comments here. Any feedback participants give goes to the organizer only.
