1. Access the Listings CRM 0:00
Log in to Proxi.
Navigate to Manage.
Click into the Listing section to open the Listings CRM.
Use this area as the central hub for all place-related data.
2. Understand the purpose of the CRM 0:30
Use Listings CRM as the single source of truth for place data.
Centralize information that powers Proxi maps, activations, and other Proxi assets.
Allow place owners to log into their portal and manage forward-facing information from one location.
3. Configure custom properties 1:03
Go to Properties.
Add the fields your team needs for each listing.
Choose whether each field is:
Internal-facing
External-facing
Select the correct data type for each property, such as:
Rich text
Phone number
URL
Hours
Special offer
Multi-select
Single-select
Reorder fields so they appear in the most useful sequence.
4. Import listing data 1:45
After creating the required fields, import your existing data.
Bring data in from sources such as:
Google Sheets
Excel spreadsheets
Another CRM
Map each imported column to the matching property in Proxi.
Confirm the records appear correctly after import.
5. Add contacts and invite owners 2:09
Add contacts to each place record.
Invite contacts to edit their place through the portal.
Use one of these methods:
Click the send button
Share the portal link directly
Send the unique link through Messaging
Confirm the contact receives access to the correct place.
6. Open and manage individual place records 2:35
Click into any place record to manage its details.
Use available tools to:
Pull business data from the Google Business Profile
Access the public page for the location
View the QR code for the location
Edit all place data
Add internal notes
Review which Proxi assets the place appears on
Invite the place to a sponsorship program
Set up event hosting for the place
Update any custom properties added earlier within the record.
7. Use bulk edit tools for multiple places 3:21
Select multiple place records when changes apply to more than one location.
Click Bulk Edit to update records efficiently.
Enable Show Image Column if you need to review images while editing.
Use bulk actions to:
Tag places
Mark places as venues
Add places to a collection/project
Edit multi-select properties
Pull Google Business Profile data in bulk
8. Configure settings and the public submission form 4:04
Open Settings.
Locate the sign-up form used for public listing submissions.
Ensure all custom properties appear in the form so submitters provide the required information.
Edit the form layout and appearance as needed.
Review incoming submissions and approval notifications.
9. Enable and manage the public page 4:41
Enable the public page for each business if you want a mini website to appear.
Confirm the page displays the forward-facing information stored in the database.
Allow the business owner to publish or share the page with their audience.
Edit public-facing details as needed to keep the page accurate and current.
10. Export data or add places manually 5:07
Use the export option when you need a copy of all listing information.
Add places one by one if you are not importing in bulk.
Use manual entry for small updates or new records that do not require a full import.
Cautionary Notes
Verify field visibility carefully: Make sure each property is marked correctly as internal-facing or external-facing before publishing.
Map import columns accurately: Incorrect column-to-property mapping can cause bad data to appear in records.
Review public page content before enabling: Once enabled, the page may be visible to the public and business owners.
Use bulk edit cautiously: Bulk changes can affect many records at once, so confirm selections before saving.
Check permissions and contact access: Only invite the correct owner/contact to edit a place record.
Confirm submission form fields: If a property is missing from the sign-up form, public submissions may not capture needed data.
Tips for Efficiency
Build your property list first so imports and forms are consistent.
Standardize field names and data types before importing from spreadsheets or other CRMs.
Use bulk edit for repetitive updates across many locations.
Keep internal notes in the record to reduce back-and-forth with owners.
Enable the public page only after reviewing the displayed information.
Use the export feature regularly for backups or reporting.
