How to Create, Organize, and Share Events in Proxi Calendar Tool

This guide explains how to build and manage events in Proxi’s calendar tool, including organizing them into groups and venues, enabling public submissions, and sharing or embedding calendars on a website.

Key Steps

1. Open the Calendar Tool in Proxi

  • Log in to the Proxi dashboard.

  • In the left-hand navigation, select Assets.

  • Click Calendar to open the calendar tool.

2. Create a New Event

  • Start a new event by either:

    • Clicking a specific day on the calendar

    • Selecting Add New Event on the right-hand side

    • Paste link that is posted online (such as Eventbrite, Luma, Facebook, Venue page) and extract details

    • Paste text posted elsewhere (such as an email, press release, flyer) and extract details.

3. Set Event Timing and Recurrence

  • Enter the event’s core details:

    • Event name

    • Short summary

    • Description

  • Assign the event to a group or category if needed.

  • Enter the event start and end times.

  • Toggle All Day if the event runs all day.

  • If the event repeats, configure the recurrence pattern:

    • Weekly

    • Monthly

    • Every set number of weeks

    • Yearly

  • Add relevant tags such as:

    • Family-friendly

    • Outdoor

    • Free parking

4. Configure Visibility and Featured Content

  • Decide whether the event should appear on the public calendar.

  • If the event should remain internal, turn off public visibility and keep it within the organization.

  • Use the feature option if the event should appear at the top of the calendar or be highlighted.

  • Add supporting media and contact details as needed:

    • Cover Image URL

    • External Link

    • Contact email

5. Add Location, People, Registration, and Sponsor Details

  • Open the Location tab and set the location type:

    • Virtual

    • Hybrid

    • Specific venue

  • Open the People tab to add:

    • Host

    • Co-host

    • Speakers

    • Performers or participants

  • Add a short description or bio for each person if needed.

  • Open the Registration tab and specify whether the event requires:

    • Registration

    • RSVP

    • Informational-only listing

  • Add the reservation or registration link if applicable.

  • Open the Sponsor tab to assign a sponsorship program or highlight a sponsor.

6. Publish the Event and Review Calendar Views

  • After completing all event tabs, select Create and Publish.

  • Verify the event appears correctly on the calendar.

  • Use alternate calendar views to review event coverage:

    • Agenda view for upcoming events (up to 90 days)

  • Venues view to see events tied to a location

  • List view to review event details such as date, venue, and publish status

7. Review and Approve Submitted Events

  • Enable event submissions when you want the public or participants to propose events.

  • Review submitted events for accuracy before approving them.

  • Use this workflow for events where contributors provide their own details, such as:

    • Addresses

    • Hours

    • Event-specific information

  • Approve only submissions that meet organizational standards.

8. Create and Manage Event Groups

  • Use groups to organize related events into a series or category.

  • Examples of useful groups include:

    • Jazz festival series

    • Summer festival series

    • Weekly farmer’s market

    • Winter holiday market

  • To create a group, click New Group on the right-hand side.

  • Enter the group name and description.

  • Assign a color to help visually distinguish the group.

  • Optionally assign a venue.

  • Enable public submissions if members of the public should suggest events for the group.

  • Save and publish the group.

9. Create and Manage Venues

  • Use venues to organize events by physical location.

  • Click Add New Venue on the right-hand side.

  • Enter venue details:

    • Name

    • Description

    • Type

    • Capacity

    • Address

    • Color

    • Website

  • Add visitor information such as:

    • Amenities

    • Parking details

    • Public transit or bus route information

  • Save the venue so it can be assigned to events.

10. Assign Events to Groups and Venues

  • Return to existing events after groups and venues are created.

  • Assign each event to the appropriate venue.

  • Save the changes.

  • Confirm the venue tab now displays all events happening at that location.

  • Use this setup to keep event series and location-based events organized.

11. Control Calendar Privacy and Public Sharing

  • Decide whether the calendar should be public or private.

  • Share the calendar with the community if the events should be visible externally.

  • Use the calendar as a master event source while groups help create separate public-facing views for specific series or categories.

12. Share the Public Calendar or Agenda Link

  • Click the Share button in the top-left area.

  • Copy the link for the public calendar or agenda view.

  • Paste the link into a browser to verify the page loads correctly.

  • Confirm users can:

    • Search events

    • Filter by venue

    • Filter by group or series

13. Embed the Calendar on a Website

  • In the Share settings, toggle Embed on.

  • Change the default view if needed:

    • List view

    • Month view

  • Decide whether to show the Add Event button.

  • Limit the embed to specific venues or specific groups if required.

  • Copy the embed code and place it on the website.

14. Share a Submission Form for a Specific Group

  • If a group accepts public submissions, copy the submission form link.

  • Share the link with contributors so they can submit events directly.

  • Verify the form displays the correct group name.

  • Use this for groups such as a weekly farmer’s market or festival series.

15. Enable Public Submissions for a Group

  • Go to Groups.

  • Click the three dots next to the target group.

  • Select Edit Group.

  • Toggle Accept Public Submissions on.

  • Update the submission instructions if needed.

  • Save changes before sharing the form link.

16. Use Groups to Create Separate Public-Facing Calendars

  • Remember that Proxy uses one master calendar.

  • Use groups to create separate views for different event series or categories.

  • When embedding a calendar for a specific audience, select the relevant group.

  • Include all venues if needed.

  • Choose the desired display format:

    • Agenda/list

    • Month view

  • Enable the Add Event button if users should submit events from the embedded calendar.

17. Verify the Embedded Calendar and Submission Experience

  • Review an embedded calendar on a website to confirm it displays correctly.

  • Check that users can:

    • View event details

    • Search events

    • Add events to their personal calendar

    • Access the submission form if provided

  • Confirm the embedded agenda or calendar matches the intended group and venue filters.

Cautionary Notes

  • Proxy uses one calendar, so use groups to create separate public-facing event collections.

  • Only enable public submissions for groups that are intended to accept outside event entries.

  • Review all submitted events before publishing to avoid inaccurate dates, locations, or descriptions.

  • If an event is meant to stay internal, ensure public visibility is turned off before publishing.

  • When embedding calendars, verify the selected group, venue, and view type are correct before copying the code.

Tips for Efficiency

  • Create groups and venues first if you manage recurring series or location-based events; this makes event entry faster later.

  • Use consistent tags, colors, and descriptions to make events easier to scan.

  • Reuse venue records instead of entering the same location repeatedly.

  • Use agenda view for quick operational review and month view for public website display.

  • Test every public link and embed after publishing to confirm the correct events appear.

  • Keep a standard naming convention for groups and venues to reduce confusion across team members.
