In the Portal: What Your Businesses and Listings Can See and Update

When a business owner signs in to your portal, they land on a branded home page — your logo, your colors — that only shows the things that are actually theirs. This walks through what they see and, more to the point, exactly where they go to change it, so you know what to expect when someone calls asking "where do I update my hours?"

Signing In

They open your portal link, type their email, and we send a one-time code — no password to remember. If someone helps more than one organization, a workspace switcher at the top lets them hop between them.

The Home Page

Everything they have with you is grouped into sections, and a section only shows up when there's actually something in it:

  • Your Listings — the businesses they manage.

  • Where You Appear — the maps and directories their listing shows up on, each with a link to see it live.

  • Your Events, Forms You've Sent, Your Sign-Ups, Your Memberships, and Your Receipts — everything else they've done with you, each with an Edit, Open, or Receipt button where it makes sense.

Updating a Listing

They open their listing and click Edit listing. From there they can change the Name, add or swap Photos, and update everything under Details — description, hours, phone, email, website, and any custom fields you've added. They hit Save changes and it's live. The address is the one thing that stays read-only, with a note to contact you if it needs fixing. Because listing details feed every card automatically, that one edit updates their info everywhere it shows.

Getting on More Maps

If you've opened up any collections for submissions, the listing shows a Get on more maps card. They click Add your listing, fill in a short form, and their business joins the maps and directories that collection feeds. Collections their listing is already part of appear under Collections, each with its own Edit button so they can keep that placement current too.

Submitting an Event

When a calendar is open to submissions, a Submit an event card lists the calendars they can add to. They fill in the details and it comes to you to review and publish — the same idea as your public event form, just already tied to their business.

How Review Works

Nothing a business sends goes live behind your back unless you've said it can. Each thing shows its status right on the home page — In Review while it's waiting on you, Live or On the Calendar once you approve it, Not Approved if you pass (with your note, if you left one). While something is still in review, they get an Edit button to fix a typo without starting over.

Good to Know

  • You decide who can edit. A contact set to Manager or Admin can make changes; a view-only contact just sees a "View-only access" note.

  • They only ever see the details you've made visible — anything you keep for your team stays hidden.
