Signup Forms: Grow a Mailing or Text List from Anywhere

A signup form is a simple "Join our list" form you can put on your own website, share as a link or QR code, or add to a printed flyer — no map or event required. Everyone who signs up lands in a contact list you can email or text, and a welcome can go out to them automatically. You'll find it under Audiences & Messaging on the Signup Forms tab.

Start a New Form

Click New Signup Form. This first step only asks for the handful of things that are hard to change later — you'll style the form and write the words on the next screen.

  • List Type — pick Email List for a newsletter or Text List for text updates. This sets what's required and how people confirm, and it can't be switched afterwards.

  • Form Name — only you see this. List Name is the contact list new signups are added to; leave it blank and we'll name it after the form.

  • What You Collect — email is always on for an email list (phone for a text list). Switch on Phone or First & Last Name if you'd like to collect those too.

  • Send a welcome when someone joins — flip this on and we'll draft the welcome for you.

Click Create and you'll land straight on the form's own page.

Make It Yours

The form's page is where you do everything else. A live preview sits alongside as you work, View Live opens the real thing in a new tab, and Save Changes turns to Saved once your edits are in.

  • What People See — your Headline, a Short Description, the Button Label, and After They Join (the thank-you people get once they're on the list).

  • Style — covered just below.

  • What You Collect — rename any question, tick Required to make it a must-answer, or switch a question off entirely. The one you reach people by (email on an email list, phone on a text list) is locked as Always asked. Turning a question off stops you collecting it going forward; answers people already gave stay on their submissions.

Pick a Look

Under Style, choose one of three layouts:

  • Banner — a color block across the top with your logo and headline in it.

  • Side by Side — a picture next to the form. A Picture field appears when you pick this one; landscape or square works best.

  • Simple — just the words, no color block.

Color follows your workspace color unless you set one just for this form, and the little refresh button next to it puts you back on the workspace color. Text on the color switches between dark and light on its own so it stays readable — see Your Workspace Name and Branding (What Shows Up Around Proxi) to set your workspace color once and have every form follow it.

Send a Welcome Automatically

Switch on Send a welcome when someone joins and Proxi drops in a ready-to-go "thanks for signing up" — an email for email lists, a text for text lists. You'll see exactly what it says right there, and Edit this message takes you off to reword it. It sends on its own the moment someone joins. (It's saved as an automatic message on the list — see Automatic Messages.) Switch it back off and the welcome is removed.

Share It Four Ways

Every form comes with a Share & Embed panel:

  • Link — a clean, branded page you can share anywhere: a bio, an email, a text.

  • QR — a code for table tents, flyers, and store windows. Someone scans it and lands on your form.

  • Inline — a snippet that drops the form right into a page on your website.

  • Button — a snippet that shows a "Join our list" button; clicking it opens the form in a pop-up, so the page stays uncluttered.

On the Button tab you can also switch on Open it on its own, which pops the form up after a few seconds without anyone clicking. Set how long to Wait, and if someone closes it we won't show it to them again for a month. Copy the snippet you want and paste it onto your site — the form looks the same everywhere and always matches your branding.

What People See

On an email list, someone types their email and joins. On a text list they type their number and tap the button, we text them a six-digit code, and a box appears asking them to Enter the code we texted you (with Resend code if it doesn't turn up). The button becomes Confirm & Join, and one more tap puts them on the list. That quick step keeps your text list clean and is their okay to be texted.

On text forms we also add the line carriers require, right under the fields, so you don't have to write it: it names your workspace, notes that message and data rates may apply, and tells people they can reply STOP to opt out. We add that STOP reminder to the bottom of every text you send, too — so leave it out of your own wording rather than saying it twice.

Where Signups Go

Each signup form feeds a contact list (an audience). Open Audiences to see everyone who's joined and message them anytime — or click Messages next to the form to jump straight there. See Sending Messages: Email or Text the People on Your Maps. Back on the Signup Forms tab, each form shows its list, how many people have joined, and whether it's Live or Paused. Click Pause to stop taking new signups for a while — your list and everyone on it stay exactly as they are — and Resume when you're ready for more. A paused form tells anyone who lands on it that it isn't accepting signups right now.

Good to Know

  • A signup form isn't tied to a map or event — it's the quickest way to start a newsletter or a text thread on its own.

  • The same person joining twice won't create a duplicate — Proxi recognizes them and keeps them as one contact.

  • Email and text lists are set up separately. If you want both, make one of each and share them side by side.
