Keep Vendor Info Private With a Password Program

Written by Melinda Haughey

This article is about the Proxi admin app at app.proxi.co.

Vendor packets, load-in maps, exhibitor logistics, staging schedules — this guide keeps event-operations info off the public internet with a password-gated program.

Best for event organizers with logistics that shouldn't be public — load-in maps, dock schedules, staging contacts.

  1. Create a program named Vendor Kit with a Password gate. Set a password you can print in the vendor packet.

  2. Add the load-in map and the vendor-only directory, both set to Members.

  3. Add an info card with day-of instructions and a link card to your vendor agreement, also members-only.

  4. Put the join page link and the password in your vendor packet and acceptance emails.

Vendors enter the password once along with their email, so you also end up with a clean list of who's actually looked at the kit.

Beyond load-in: keep the same program year over year and just swap the assets — your vendors already know where the door is, and returning vendors sign right back in.
