Updating Many Listings at Once

Written by Melinda Haughey

This article is about the Proxi admin app at app.proxi.co.

Your Listings page holds everything you know about the businesses and places in your community. When you need to update a lot of them at once — say, adding a label to every restaurant, or filling in a new field across the board — you don't have to open them one at a time. There are two ways to work in bulk: quick actions on selected listings, and a spreadsheet view for hands-on editing.

You'll find your listings under Listings in the left sidebar.

Selecting Listings for a Quick Action

  1. Click Select in the toolbar. Checkboxes appear next to each listing.

  2. Check the ones you want, or use the checkbox at the top of the list to grab everything on the page. You can also click Select all matching to select everything that fits your current search and filters (up to 500 at a time).

  3. A bar appears showing how many you've selected, along with the actions you can take.

What You Can Do With Selected Listings

  • Add label — search your labels and click one to apply it to everything selected. You can create a brand-new label right from the same popup.

  • Change type — set the selected listings to Business, Person, Organization, Public space or attraction, or Home / residence.

  • Mark venue — flag the selected listings as venues.

  • Edit property — set one property to the same value across everything selected (more on this below).

  • Get data — look up business details from the web to fill in gaps.

  • Merge — combine two or more duplicates into one listing.

  • Delete — remove the selected listings. This also unlinks any map points using them and removes their portal access, and it can't be undone, so we'll ask you to confirm first.

Setting One Property Across Many Listings

The Edit property button is the fastest way to fill in or fix a dropdown or checkbox property everywhere at once.

  1. With listings selected, click Edit property and pick the property you want to change. (Dropdown and checkbox properties show up here — text fields are edited in the spreadsheet instead.)

  2. Choose the value:

    • For a property that allows several values, pick Add (keeps what each listing already has), Remove (takes those values off), or Replace (swaps in exactly what you choose).

    • For a single-choice property, pick one option — or No value to clear it.

    • For a checkbox, choose Checked or Unchecked.

  3. Need an option that doesn't exist yet? Type it into New option… and it's created on the spot.

  4. Click Apply. We'll skip anything that's already up to date and tell you exactly how many listings changed.

Editing in a Spreadsheet

For hands-on editing — renaming things, pasting in data from a file, filling many different values — click Bulk Edit in the toolbar to open your listings in a spreadsheet view. You can type in cells, paste from Excel or Google Sheets, and drag to fill. See Using the Bulk Edit Spreadsheet for a full walkthrough.

A tip before you start: if you've searched or filtered the list, the spreadsheet opens with just those matching listings — handy for editing one slice of your data at a time.

Importing and Exporting

At the top of the Listings page you'll also find Export CSV to download everything as a file, and Import CSV to bring in updates or new listings from a spreadsheet file.
